Access during Load-in and Load-out
Access during load in/out is restricted. LILO (Load in & Load Out) passes must be requested - in advance - for anyone working in an exhibition space through Monday November 30. This includes shippers, installers, buildout teams, carpet and flooring vendors, signage installers, wallpaper installers, etc.
LILO passes are valid through Sunday November 29. Anyone needing access to the Fairground on Monday November 30 must enter either using their ID 123 digital credential or obtain a PRE-SHOW PASS from the Credential desk.
PRE SHOW PASSES are issued exclusively to persons whose names have been submitted by galleries in advance. This extra security step is to prevent LILO passes from being distributed without permission.
LILO passes and PRE SHOW passes will not be granted without pre-authorization.
Load In Schedule & Appointments
Exhibitors will be asked to schedule a shipping appointment for each delivery expected using this simple form. Partners are contractually obligated to use a Design Miami preferred shipping partner and will be personally introduced to the trio of companies by our production team in late summer. Delivery charges and onsite special order charges in 2026 require onsite payment prior to show close. Payments accepted via ACH or CC.
Every separate delivery company needs its own delivery appointment.
Appointments are mandatory. Information contained within the form should answer most questions and take just a few minutes to complete.
Deadline is November 13. Changes and cancellations are permitted without penalty through November 13 when the form will close. Any request received after the November 13 deadline must be made in writing and will be assessed a late penalty fee.
Delivery fees and associated penalties in 2026 require onsite payment.
FedEx / UPS Freight is not accepted at the Fair. If you need assistance with securing a shipper please contact lala@designmiami.com
Early Load-in and/or Load-out
Any request to load-in earlier and/or load-out later than the official announced dates must be submitted to Show Management in writing for approval.
Show Management reserves the right to charge an early load-in or late load-out fee of $1,000 per day if additional time is needed for booth construction.
On-Site Drayage Fees
Exhibitors and shippers unable to swiftly load/unload crates from a shipping vehicle into the fairground will be assisted by Design Miami personnel. Resulting charges—forklift, pallet jack, or manual labor— must be paid for onsite.
To understand fees, please refer to this Shipping Fee Cheat Sheet.
Working Platforms
If you need special working platforms (e.g., scissor lift or personal lift) for your booth installation please contact Lala Pereira. Design Miami prohibits individuals from operating heavy equipment on-site, including but not limited to forklifts, scissor lifts, golf carts, and gators.
Waste Disposal during Setup and Dismantling
Exhibitors are responsible for the removal of all garbage generated during setup and dismantling prior to their departure. Exhibitors will incur additional fees should they leave any construction debris, garbage, or packing materials that require cleanup.
For safety reasons, aisles must be kept free from waste and any other material. Exhibitors will incur additional fees should they leave any waste or construction debris in surrounding aisle ways.
Please be advised: Styrofoam is illegal in Miami Beach and should not be utilized in any manner at Design Miami, including as a packaging material.
Empty Crates
Design Miami offers no on-site storage solution for empty or partially empty crates. All crates, whether empty or partially empty, must be removed from the fairground no later than 6pm on Saturday, November 28.
If you are unable to store the empty crates with your shipper, please contact one of our preferred shippers who can arrange this service for you pending availability. Costs will apply.
Object Replacement
If you are considering bringing additional material for sale to replace objects that are sold, they must be reviewed and pre-approved. Please contact April or Lea directly. Once approved by April/Lea, please contact lala@designmiami.com to coordinate the load out/in of those items.
Please note, Design Miami is unable to provide onsite storage. If your space sits in front of an AC closet that is not part of your square footage, you may NOT store exhibition or personal items in it.
